The short answer

You see a participant's shift details because you have a rostered shift with them, not because of your general staff status. Access follows real bookings, so it can change when your roster changes.

If you have ever logged into your roster app and noticed a participant has disappeared, or wondered why you can already see someone's details before you have even met them, there is a simple explanation. Access to a participant's details is tied to the shifts actually booked for you, not to your role as a staff member in general.

Why access follows shifts, not job titles

Apps built for this kind of work, including Sparks Provider, are set up so each worker's account only shows what is relevant to their own rostered work. That usually means your upcoming shifts and the participant details you need to do those shifts well, things like routines, support needs and contact information. It is not a staff-wide directory you can browse. If a shift has not been booked for you, there is generally nothing for you to see.

This is also why you might be able to see a participant's details ahead of your first visit with them. Once a shift is confirmed, the relevant details usually appear so you can prepare, even if the shift itself is still a few days away.

What happens when a shift changes

Rosters move. Shifts get swapped, cancelled, or simply do not turn into an ongoing arrangement. When a future shift with a participant is removed from your roster, your access to that participant going forward can close as well, since there is no longer a booking that explains why you would need to see their details.

What does not happen is any undoing of work you have already done. If you wrote shift notes or an incident report during a shift that genuinely took place, that record stays with the participant. Losing access to future bookings is about what you can see from here on, not a wind-back of anything you have already legitimately seen or recorded.

A fictional example

To make this concrete, picture a fictional, anonymous support worker we will call Jordan. Jordan picks up a one-off Saturday shift with a participant and writes a short shift note afterwards, as usual. The following week, a second shift with that same participant does not go ahead, the roster changes and no new booking is made. When Jordan opens the app again, that participant no longer appears in their list. Jordan is not being shut out of anything, there is simply no upcoming shift left to justify ongoing access. The note Jordan wrote the previous week is still attached to the participant's record, it has not vanished.

What to do if access looks off

If you believe you are rostered for a shift but cannot see the details you need, or you can still see a participant you have not supported in a long time, the roster itself is the thing to check first. Access is managed by whoever looks after rostering in your organisation, usually a coordinator or admin, so they are the right person to ask. They can check whether a shift is still assigned to you, and review who currently has access to a participant's details.

It is worth raising promptly rather than guessing. A missing shift might just be a scheduling gap, or it might mean the roster has changed and nobody has told you yet.

What this means for your day to day work

  • Treat your visibility of a participant as tied to a real, current or upcoming shift, not as something permanent
  • If a participant disappears from your list, it usually reflects a roster change rather than anything about your performance or standing
  • Work you have already recorded, like shift notes, stays with the participant even if your future bookings change
  • If something about your access looks wrong, ask your coordinator or admin rather than trying to work around it

Frequently asked questions

Why can I see a participant's details before I have even met them?

Once a shift is booked for you with that participant, the relevant details usually become visible so you can prepare ahead of the visit, even if the shift is a few days away.

If my future shifts with a participant are cancelled, do my old shift notes disappear too?

No. Notes and records from shifts that actually happened stay attached to the participant. Only your ongoing visibility of new details changes when future bookings end.

Can I ask to see a participant's details if I don't have a shift with them yet?

Generally no, access is built around rostered work. If you need information for planning purposes, raise it with your coordinator.

Who should I contact if my access seems wrong?

Your coordinator or whoever manages the roster and staff access in your organisation, since they are the ones who control shift assignments.
